1. Weekly Hire Period
The weekly hire period is defined as a duration of seven (7) consecutive days (e.g., from Monday to Sunday). Any additional days outside of this period will be charged at a full additional weekly rate, unless otherwise agreed upon in writing.

2. Reporting Shortages and Damages
Any shortages or damages to the items upon delivery must be reported in writing (via email or text) within 24 hours of delivery. Failure to report within this timeframe may result in liability for all damages or shortages upon return.

3. Delivery-Related Costs
The hiring party (“Production”) shall cover all delivery-related expenses, including but not limited to Congestion Charges, ULEZ fees, Bridge Tolls, and similar costs. This clause does not apply to any fines, such as parking or late fines, which shall remain the responsibility of the hiring company — Preps Shoots and Leaves Ltd. 

4. Interior Mat Usage
Interior mats are designated for indoor use only. Should interior mats be used outdoors, prior written consent is required and additional cleaning fees may apply, as outlined in Clause 6.

5. Inspection Upon Return
Upon the return of all hired items, Preps, Shoots and Leaves Ltd will inspect the mats and trolleys within 3 business days to verify condition. Any damages, shortages, or excessive wear identified during this inspection will be documented, and the hiring party will be notified with associated charges within 5 business days. 

6. Cleaning and Condition on Return

Mats that are returned in an excessively soiled or wet condition will incur an additional cleaning fee, which will be calculated based on the state of the items upon return. If a mat is deemed beyond reinstatement, it will be subject to the replacement provisions under Clause 10. 

7. Return of Equipment and Trolleys

All mats must be returned in the same number of trolleys as were delivered, as indicated on the delivery note. Failure to return the correct number of trolleys may incur replacement or penalty charges.

8. Storage Requirements

Mats should be stored indoors whenever possible. If stored outdoors, they must be covered with the protective cover provided. Mats should be kept in an appropriate location to prevent damage until collection.

9. Payment Terms

Payment is due within thirty (30) days from the date of invoice submission unless other payment terms have been agreed upon in writing.

10. Liability for Damages and Losses

The hiring party is liable for all damages and losses related to mats and trolleys during the hire period. Charges for damaged or lost items will be calculated based the replacement cost from our supplier.

11. Cancellation Policy

Orders may be canceled by the hiring party up to 24 hours prior to the scheduled delivery without penalty. Cancellations made within 24 hours of delivery will incur a cancellation fee of 50% of the total hire charge. Any cancellations after delivery has commenced will be billed for the entire hire period.

12. Indemnification

The hiring party agrees to indemnify and hold Preps, Shoots and Leaves Ltd harmless against any claims, damages, or losses arising from improper use, storage, or handling of the hired mats.

13. Insurance Requirements

Preps Shoots and Leaves Ltd maintains its own insurance for general liability and vehicles used for delivery. Both are availible on request. However, the hiring party (“Production”) is required to provide and maintain adequate insurance coverage for all hired mats and trolleys for the duration of the hire period. This coverage should include, but not be limited to, protection against loss, theft, or damage to the hired items. Preps, Shoots and Leaves Ltd reserves the right to request proof of insurance at any time prior to or during the hire period. Any costs related to damages or losses not covered by the production’s insurance will remain the responsibility of the hiring party.

14. Force Majeure

Preps, Shoots and Leaves Ltd shall not be liable for any delay or failure to fulfill its obligations under these terms and conditions if such delay or failure arises from events beyond its reasonable control, including but not limited to acts of God, natural disasters, fire, flood, war, civil unrest, strikes, lockouts, governmental actions, pandemics, or other unforeseen events. In the event of a Force Majeure occurrence, Preps, Shoots and Leaves Ltd will make reasonable efforts to notify the hiring party and resume performance as soon as practicable.
